ORGANISATIONAL

LOCATION

In the Executive Directorate a dedicated team assists the Executive Director in the general management and functioning of

the Agency. The Executive Directorate is comprised of the Cabinet of the ED, Communications and External Relations, notably

with the European Union institutions and the Member States, Safety Analysis, Internal Audit and Human Resources.

The Communications Department is responsible for the Agency's external and internal communication. Externally, the main activities include communication with the media and the general public, emergency communication (internal and external),

relations with the EU institutions and political affairs, external relations with the aviation industry as well as community

relations in the Cologne region. Internally, the Departments informs about important internal and external events.

JOB CONTENT

The post holder will report to the Head of Communications Department.

He/She will be in particular responsible for:

Assisting in the overall organisation of internal and external events (e.g. conferences, fairs, etc.) including the planning of

events, selection of event locations, registering participants and answering to queries, handling follow-up questions etc;

Drafting event related information;

Representing the Agency at conferences, exhibitions and other events;

Handling independently all administrative tasks related to the organisation of events;

Assisting the Communications Department in all other communication activities (e.g. media relations, online

communication, corporate publishing, etc.);

Other duties as assigned.

PROFESSIONAL QUALIFICATIONS AND OTHER REQUIREMENTS

A. ELIGIBILITY CRITERIA

  • 1. 
    A level of post-secondary education attested by a diploma,

A level of secondary education attested by a diploma giving access to post-secondary education, and appropriate

professional experience of at least three years;

  • 2. 
    Thorough knowledge of one of the languages of the Communities and a satisfactory knowledge of another language of the Communities to the extent necessary for the performance of his/her duties;
  • 3. 
    Be a national of a Member State of the European Union, Norway, Iceland, Liechtenstein or Switzerland;
  • 4. 
    Be entitled to his or her full rights as a citizen;*1
  • 5. 
    Have fulfilled any obligations imposed by the applicable laws on military service;
  • 6. 
    Meet the character requirements for the duties involved, and
  • 7. 
    Be physically fit to perform the duties linked to the post.*2

B. SPECIFIC COMPETENCES AND SKILLS

  • a) 
    Essential

Knowledge in the field of communications and public relations and/or preferably professional experience in

communications or public relations department (PR Agency, public institution or private company) as an event organiser;

Training and/or preferably professional experience in the organisation of events for different target groups;

Excellent knowledge of German required as a high proportion of events are located in Germany;

Excellent knowledge of English with ability to draft event information in English;

Proven organisation skills and capacity to work under pressure and independently to challenging deadlines;

Good drafting skills and ability to produce high quality written materials;

Ability to establish and maintain good working relations with people of different national and cultural backgrounds;

Motivated, dynamic personality with strong aptitude for team work;

Computer proficiency of current IT office tools (Windows, MS Office, MS Office Project, spreadsheets and databases).

  • b) 
    Advantageous

Recent (within the last three years) professional experience in a field similar to the job description preferably in an

institution of the European Union;

Knowledge of the EU administrative and financial procedures and rules;

Knowledge of the European Union and its institutions;

Knowledge of the aviation sector;

Fair knowledge of a third European language.
